Hawaii Natural Clean LLC (“HNC,” “we,” “our”) is a residential and commercial cleaning service operating in the State of Hawaii. This policy explains what information we collect when you book or receive cleaning services from us, sign in to our customer or staff portal, or otherwise interact with us, and how we use and share that information.

1. Information we collect

Information you give us directly

• Contact information: your name, phone number, email address, and the address where service will be performed.
• Service details: property characteristics (square footage, number of rooms, condition), preferred cleaning frequency, scheduling preferences, access instructions, and notes you provide.
• Payment information: when you pay for service or leave a tip, payment is processed by Stripe. Card numbers and bank details are sent directly to Stripe and are not stored on our servers. We retain only a customer reference and a record of transactions.
• Communications: messages, calls, voicemails, and emails you exchange with us, including SMS conversations through OpenPhone and emails through Resend.

Information we collect automatically

• Usage data: when you visit our customer portal or sign in, we log routine technical information (timestamps, page paths, error events) to keep the service running. We do not use third-party advertising trackers.
• Device information: standard request metadata (browser type, IP address, operating system) sent automatically when your device connects to our website.

Information from third parties

• Google sign-in: if you choose to sign in with Google (used by HNC staff and certain customer accounts), Google shares your name, email address, and profile picture with us. See section 5 for details.
• Payment confirmations: Stripe sends us payment status and (for tips) the amount paid, so we can record successful transactions.

2. Text messaging (SMS) terms

When you provide your mobile number, you consent to receive text messages from Hawaii Natural Clean related to your service — including quotes, appointment confirmations and reminders, dispatch updates, billing notices, and replies to your questions.

• Message frequency varies based on your activity with us.
• Message and data rates may apply.
• Reply STOP at any time to stop receiving texts. Reply HELP, or contact us using the details in section 11, for help.

We do not sell your personal information, and we do not share your mobile phone number or your SMS opt-in consent with third parties or affiliates for their own marketing or promotional purposes. Mobile information is shared only with the service providers that help us deliver and operate our messaging (see section 4).

3. How we use your information

• To schedule, perform, and follow up on cleaning services you book.
• To send appointment confirmations, reminders, reschedule notices, and post-service messages by SMS or email.
• To process payments, send invoices, and record tips owed to your cleaner.
• To respond to your inquiries and provide customer support.
• To improve our scheduling, dispatch, and routing decisions.
• To detect and prevent fraud, abuse, and security incidents.
• To comply with applicable laws, including Hawaii General Excise Tax reporting obligations.

We may use AI tools (currently Anthropic) to draft personalized follow-up messages based on the context of your inquiry. A human reviews and approves any AI-drafted message before it is sent to you.

4. Who we share it with

We do not sell your personal information. We share information only with service providers who help us run the business, and only the minimum needed for them to do so. Our current providers are:

• Supabase — database and authentication. Stores your contact and service records.
• Stripe — processes card payments and tips. Stripe’s privacy policy.
• OpenPhone — sends and receives SMS and voice calls on our business line. OpenPhone’s privacy policy.
• Resend — sends transactional and marketing email on our behalf. Resend’s privacy policy.
• Anthropic — provides the AI model used to draft messages. We send minimum context (such as your inquiry text and prior message history) and do not provide payment data. Anthropic’s privacy policy.
• Google — provides Google Calendar (for cleaner schedules), Google Maps (for routing), and Google sign-in. Google’s privacy policy.
• Vercel — hosts our website. Vercel’s privacy policy.

We may also disclose information if required by law, to enforce our terms, to protect our rights, or in connection with a sale or transfer of the business.

5. Google account sign-in

HNC staff (cleaners and administrators) and some customers can sign in to our portal using a Google account. When you do this:

• We request only the basic profile scopes: email, profile, and openid. We do not request access to your Gmail, Drive, contacts, or other Google services.
• Google sends us your name, email address, and profile picture URL. We use this only to identify you, log you in, and display your name in the portal.
• We do not post anything to Google on your behalf.
• You can revoke our access at any time at myaccount.google.com/permissions.

For staff who connect Google Calendar, we request access to read and write events on the dedicated calendar associated with that staff account, only for the purpose of synchronizing cleaning appointments. We do not read other calendars on your account.

6. How long we keep your information

We keep your information for as long as you are a customer or staff member, and afterward only as needed to complete pending transactions, comply with tax and accounting requirements, and resolve disputes. Inactive customer records are reviewed annually and deleted or anonymized when no longer needed.

7. Your rights and choices

You can:

• Request a copy of the information we hold about you.
• Ask us to correct inaccurate information.
• Ask us to delete your information, subject to our legal obligations to retain certain records.
• Opt out of marketing emails by clicking “unsubscribe” at the bottom of any marketing email we send. Transactional messages (appointment confirmations, invoices, etc.) are required to provide service and cannot be opted out of while you are a customer.
• Reply STOP to any SMS to stop receiving text messages from us.

8. How we protect your information

We use industry-standard measures to protect your information, including HTTPS encryption for all web traffic, encrypted database storage with our hosting provider, access controls limiting staff access to what each person needs, and tokenized payment handling through Stripe (we never see or store full card numbers). No system is perfectly secure; if we become aware of a breach affecting your information we will notify you as required by applicable law.

9. Children’s privacy

Our services are intended for adults. We do not knowingly collect information from children under 13. If you believe we have collected information from a child, please contact us so we can delete it.

10. Changes to this policy

We may update this policy from time to time. The current version is always the one posted on this page, and the most recent version governs. If we make material changes that affect how we use your information, we will notify you by email or through our portal before the change takes effect.
